CCSA BOD and CCSA Team Roles and Responsibilities

Recruiting and managing team members and volunteers for the Glazed Over Podcast. This includes finding producers, moderators and volunteers to fill all roles and responsibilities of the below listed job descriptions.  The BOD and ED will monitor the podcast team members to ensure the podcast stays on schedule, assist with finding and scheduling guests, evaluate member feedback, and ensure the podcast team has the resources for a successful season.

Producers Roles and Responsibilities

1.        Developing and maintaining the podcast schedule by working with volunteers and moderators to create a timeline of when episodes will be recorded, edited and published.

2.        Organizing and scheduling recording sessions. To involve, but not limited to, coordinating with guests and other team members to find an approved time, as well as booking a space or necessary equipment to record the podcast.

3.        Upon booking guests for the podcast, ensure all guests are sent the “Welcome To Glazed Over” tips and tricks/best practices email.

4.        At least one week prior to recording, ensure guests and moderators are provided a list of possible questions (production show notes).

5.        Upload episodes and publish show notes. To include, but not limited to, having the show audio transcribed to text, uploading audio and all accompanying files to podcast syndicators like Podbean, YouTube, Spotify or Apple Podcasts.

Moderators Roles and Responsibilities

1.        Offering commentary that engages the guests and audience.

2.        Not required, but having an understanding of the ceramic fired arts industry will greatly help moderators tailor questions and interactions with guests.

3.        Prepare for interviews by reading books for book reviews, production notes/questions and researching guests.

4.        Interview guests and perform other on and off air duties during and after recording (listed below)

5.        Analyzing listener feedback and making necessary changes to ensure members are finding value in the offering.

6.        Manage sound quality: Schedule a sound test with guests and moderators, 5 minutes before recording begins, to make any necessary adjustments prior to live recording.  For example, the use of a pop filter, adjust gain levels, or cut out any unwanted noise to make the audio files sound as professional as possible.

7.        Please submit podcast episodes for editing within one week of recording. Be sure to include the episode's title and description. 

8. For smooth and efficient communication, please respond to all emails within 48 hours of receipt. Timely replies help us maintain momentum and keep projects on track. 

Shared tasks (Production and Moderators)

1.        Ensure all equipment is in working order and ready for recording and editing. To include, but not limited to: setting up microphones, making sure there are enough XLR cables, testing  monitors prior to recording and ensuring all equipment is performing as needed for a well produced episode.

2.        Creating deadlines, staying on task, attending recordings, and ensuring that episodes are released on time. This entails meeting brand deal deadlines, self-imposed deadlines, and keeping any promises made to the audience about what will be uploaded next.

a.        Basic schedule is as follows: Record at least 2 weeks prior to launch date. Edits are done at least one week prior to launch. Title and description to be used for upload sent to CCSA team. Moderators and Producers review prior to launch. Launch on agreed upon date.

3.        Work with the CCSA staff to ensure Glazed Over is being promoted on CCSA and PYOP social media as well in email marketing campaigns.  Producers and moderators will compile a list of talking points, guest speakers and necessary graphics and send to the CCSA staff on a monthly or quarterly basis, so staff can include Glazed Over in their marketing plan.

4.        Provide monthly updates to the producer, who will then relay the information to the Education Pillar. 

5.        Increase downloads and subscribers by finding creative ways to market the show to potential listeners, like cross-promotion with other shows or other podcasts that might have a similar target audience.

Research Team Roles and Responsibilities

1.        Organizing and proposing topics and guests.

2.        Coordinating with guests and other team members to find interesting candidates and topics that might be of value to our members.

Proposed working schedule

Glazed Over will be produced in Seasons based on the calendar year.

Seasons consist of 24 episodes and 4 bonus episodes at minimum.

More episodes can be added with the approval of the board and agreement of the moderators.

Moderators and Production volunteers sign up for one season schedule at a time and reevaluate their commitment in October during the application process and prior to the next season beginning.

Producer qualifications

The producer can be a CCSA BOD member or CCSA studio member volunteer. Must be in good standing of the CCSA.  They must be able to devote 4 hours a week, at minimum, to the recording, production, notes, and coordination of the podcast as outlined above.

Moderator qualifications

Moderators should be CCSA studio or supplier members in good standing. They should not be representatives from major suppliers in order to avoid perceived or real bias. Moderators should be able to devote 4 hours a week to recording, promoting, and development of the podcast.
